Deen Discovery Policies and Procedures (CAMPS/WORKSHOPS/CLUB/EVENTS)
Deen Discovery is not just a place for learning; it is a platform for fostering friendships, building a sense of community, and nurturing positive values. We believe that by creating a supportive and engaging environment, children will develop a strong foundation in Islamic knowledge while embracing the beauty of Islam.
1. Aims and Objectives
Deen Discovery is an organisation set up with the vision to create an engaging, beneficial, and FUN Islamic environment for children to learn about the Deen in accordance with the Quran and Sunnah. We provide a variety of workshops and a weekly club, where young minds can embark on a captivating journey to explore and deepen their understanding of Islam.
At Deen Discovery, we believe that learning about Islam should be an enjoyable experience for children. We have developed a curriculum that combines essential knowledge with interactive activities, enabling children to connect with the teachings of Islam in a meaningful manner. We aim to make every session both educational and entertaining, ensuring that children look forward to attending and eagerly participate in the activities.
Here are some key features of Deen Discovery:
1. Engaging Lessons: Our lessons are thoughtfully designed to cater to different age groups, ensuring that the content is appropriate, relatable, and easily comprehensible for children. We use storytelling, arts and crafts, role-playing, and multimedia resources to make the learning process dynamic and interactive.
2. Interactive Discussions: We encourage open discussions and foster a safe space where children can ask questions and share their thoughts. By promoting dialogue, we aim to nurture critical thinking skills and encourage children to explore their understanding of Islam.
3. Hands-On Activities: we believe that learning by doing is an effective approach. Through hands-on activities, children actively engage with the teachings of Islam. They may participate in Islamic calligraphy, create Ramadan decorations, learn about the significance of Hajj through a model demonstration, and much more.
4. Storytelling and Qur’an Recitation: We incorporate captivating storytelling sessions, where children learn about the Prophet’s life, the companions, and inspiring Islamic stories. Additionally, we provide opportunities for children to practice Qur’an recitation, recite Duaas (supplications), and memorise surahs and verses from the Qur’an.
5. Celebrating Islamic Events: Throughout the year, we celebrate Islamic events such as Eid al-Fitr and Eid al-Adha. These celebrations include festive activities, games, and educational presentations that highlight the significance and customs associated with each occasion.
2. Behaviour Policy
1. Introduction
Deen Discovery is committed to providing a safe and inclusive environment for all children who participate in our program. This Behaviour Policy outlines our expectations for behaviour, sets clear boundaries, and promotes a positive and respectful atmosphere.
2. Expectations of Behaviour
2.1 Respect for Others: We expect all children to treat each other, staff members, volunteers, and visitors with respect and kindness. Bullying, teasing, physical aggression, or any form of disrespectful behaviour will not be tolerated.
2.2 Respect for Property: Children are expected to respect the property, including equipment, supplies, and facilities. Any intentional damage, theft, or misuse of Deen Discovery resources will result in appropriate consequences.
2.3 Listening and Cooperation: Children are encouraged to listen attentively to staff members, follow instructions, and cooperate with others. Active participation and engagement in activities are expected.
2.4. Safety Awareness: Children should adhere to safety guidelines and rules provided by staff members, report any hazards or concerns, and avoid engaging in risky or dangerous behaviour.
2.5 Inclusion and Diversity: We promote an inclusive environment where diversity is celebrated. Children are expected to show respect to individuals from different backgrounds, cultures and abilities.
3. Positive Reinforcement and Rewards
We believe in promoting positive behaviour and reinforcing good conduct. Staff members will acknowledge and praise children for their positive contributions, effort, and cooperation. Rewards, such as certificates, stickers, or small tokens of appreciation, may be given to encourage and reinforce positive behaviour.
4. Consequences for Misbehaviour
4.1 Verbal Warning: Staff members will provide a verbal warning to remind the child of expected behaviour and its impact on others. (Max 3)
4.2. Time-Out or Cooling-Off Period: if a child’s behaviour continues to disrupt the club environment or poses a safety risk, they may be temporarily removed from the activity or group setting to reflect on their behaviour and regain self-control. During this time, staff members will engage with the child to discuss their actions and help them find positive alternatives. A reflection sheet will be completed during this time.
4.3 Parental Involvement: If a child’s misbehaviour persists or becomes a recurring issue, staff members will communicate with parents or guardians to discuss concerns and jointly develop a plan for addressing the behaviour. Parental cooperation and involvement are essential for resolving ongoing behavioural issues.
4.4 Suspension or Termination: In extreme cases or after exhausting other intervention strategies, Deen Discovery reserves the right to suspend or terminate a child’s participation if their behaviour poses a significant risk to the safety or well-being of themselves or others.
5. Communication with Parents/Guardians
We maintain open and transparent communication with parents or guardians regarding their child’s behaviour. Staff members will promptly inform parents about any significant behavioural concerns, discuss strategies for improvement, and seek parental support in reinforcing positive behaviour.
6. Review and Monitoring
This Behaviour Policy is regularly reviewed to ensure its effectiveness and alignment with our commitment to providing a safe and inclusive environment. We welcome feedback from parents, staff members, and children to continuously improve our behaviour management strategies.
By adhering to this Behaviour Policy, we create an environment where all children feel valued, respected, and can fully participate at Deen Discovery.
3. Clothing and Appearance
Deen Discovery places a great emphasis on promoting modesty, respect, and adherence to Islamic values. As such, we kindly request all participants to adhere to a dress code that reflects the principles of Islamic attire. Boys and girls are encouraged to dress modestly. Girls are encouraged to wear or bring a headscarf with them to perform salah. Clothing with inappropriate images or messages is not permitted, as we strive to maintain an environment that upholds Islamic morals and values.
4. Absence and Lateness policy
Absence
We do not refund payment of any sessions due to absence or cancelations.
Late Pick-Up
1. Timely Pick up: Parents or guardians are expected to pick up their children promptly at the scheduled end time of the session. Any delays in pick-up must be communicated to the club staff in advance.
2. Late Pick-Up Policy: In the event of late pick-up without prior notification, A late fee of £10 may be charged to cover additional staff time. The late fee aims to encourage timely pick-ups.
Communication
1. Keeping Contact Information Updated: Parents or guardians are responsible for providing Deen Discovery with accurate and up-to-date contact information. This includes home addresses, phone numbers, and emergency contacts.
2. Communication Channels: Deen Discovery maintains open lines of communication with parents through various channels, including email, phone calls, and in-person meetings. Parents are encouraged to communicate any concerns or questions regarding attendance, lateness, or absence with the club staff promptly.
5. Safeguarding Policy
a. Introduction
Deen Discovery is committed to ensuring the safety, well-being, and protection of all children who attend our program. This Safeguarding Policy outlines our approach to creating a secure environment, preventing harm, and responding effectively to any concerns regarding the welfare of the children under our care.
b. Legal and Ethical Framework
We operate within the legal framework set out by local child protection laws and regulations. Our policies and procedures align with the principles outlined in relevant legislation, such as “Keeping Children Safe in Education”, and follow the guidelines provided by the Department for Education.
c. Safeguarding Responsibilities
Designated Safeguarding Officer (DSO): Hadjer Bellagh
We have appointed a designated safeguarding officer who is responsible for overseeing the implementation of this policy. Coordinating safeguarding measures and acting as the primary point of contact for staff, parents, and relevant authorities regarding safeguarding concerns.
Staff Training and Awareness: All staff members and volunteers are carefully selected, vetted, and provided with appropriate training on safeguarding procedures, recognised signs of abuse, responding to disclosures, and maintaining confidentiality. Regular training sessions are conducted and equipped with the knowledge to create a safe environment.
Reporting Concerns: Any safeguarding concerns observed or disclosed by staff members, parents, or children are taken seriously and handled sensitively. We maintain clear reporting procedures that enable staff members to promptly report concerns to the designated safeguarding officer. Confidentiality is respected, and information is only shared on a need-to-know basis with relevant parties.
d. Child Protection Procedures
Risk Assessment: We regularly conduct risk assessments of the premises, equipment, and activities to identify potential hazards or risks to the children’s safety. Necessary precautions are taken to minimize risks and create a secure environment.
Preventing Abuse and Harm: We have a zero-tolerance policy towards any form of abuse, including physical, emotional, sexual, or neglectful behaviour. Staff members are trained to recognize signs of abuse and know how to respond appropriately. We promote positive and respectful interactions between staff members, children, and parents.
Managing Allegations: Any allegations or concerns regarding abuse or harm involving staff members, volunteers, or any other individuals connected to Deen Discovery will be taken seriously and thoroughly investigated. We follow local child protection procedures, cooperate fully with relevant authorities, and take appropriate action based on the outcome of the investigation.
e. Communication and Parental Involvement
We understand the importance of effective communication with parents and guardians. We provide parents with clear information about our safeguarding policies, procedures, and reporting mechanisms. We encourage open dialogue and welcome any feedback or concerns regarding safeguarding to ensure continuous improvement.
f. Review and Monitoring.
This Safeguarding Policy is regularly reviewed and updated to reflect any changes in legislation, guidelines, or best practices. We monitor its implementation to ensure compliance and effectiveness, and we seek feedback from staff members and parents to improve our safeguarding measures.
This Safeguarding Policy is accessible to all staff members and parents. By adhering to this policy, we aim to create a safe and secure environment where children can thrive, learn and frow in accordance with Islamic values.
THE FOLLOWING APPLY TO DEEN DISCOVERY CLUB ONLY:
6.Attendance and Absence Policy
1. Attendance
1.1 Regular attendance at the Deen Discovery Club is crucial for the child’s benefit and overall engagement in the program. Parents are encouraged to ensure that their children attend the club regularly, as consistent participation enhances their learning.
1.2 The club starts at 5 pm and concludes at 6:30 pm. Doors will be closed at 5:10pm after which no student may be admitted to class. If a child will be arriving after the scheduled start time, parents or guardians must notify the club staff about the delay.
2. Absence
2.1 Notification of Absence: In the event of a planned absence, parents or guardians should inform the club staff in advance. If an unforeseen circumstance leads to the child’s absence, parents are required to notify the club as soon as possible. We do not offer refunds for any sessions that are missed.
2.2 Extended Absence: For extended absences, such as a vacation or extended family commitments, parents are requested to inform the club in advance to help with program planning and ensure the child’s absence is recorded accordingly. Payment is still required to secure your child's space at the club.
2.3 Maximum Allowed Absences: Deen Discovery club acknowledges that some absences are unavoidable. However, excessive, or unexplained absences may be discussed with parents to ensure continuity of learning and engagement in the program.
7. Monitoring Progress
Monitoring progress is essential to ensure that our program meets its goals. We want you to feel confident that your child is in a supportive and nurturing environment. By closely monitoring their progress and seeking ways to improve, we aim to provide a meaningful experience that enriches their lives and strengthens their connection to Islam. Here are some key aspects of monitoring progress at our club:
1. Learning Objectives: Our club has established clear and measurable learning objectives aligned with our mission and the Islamic values we aim to instill in the children. These objectives guide our activities and lessons, ensuring that we focus on essential skills and knowledge that benefit their development.
2. Regular Assessments: Throughout the program, we conduct regular assessments to gauge the children's understanding of the subjects covered. These assessments may take the form of quizzes, tests, or informal evaluations, depending on the age group and the topics being taught.
3. Teacher Observations: Our teachers observe the children during various activities, both inside and outside the classroom. Through these observations, we gain valuable insights into their engagement, participation, and social interactions.
4. Behaviour and Social Skills: At our club, we emphasize character development and social skills. We observe the children's behaviour, manners, and interactions with their peers and staff to ensure a positive and respectful environment.
5. Parent-Teacher Communication: We value open communication with parents/guardians and believe it is essential to keep you informed about your child's progress. We invite parents/guardians to discuss your child's development, strengths, and areas for improvement.
6. Parent Feedback: Your feedback is invaluable to us. We actively seek your input through surveys, questionnaires, and informal conversations. Your perspectives help us understand your child's experiences better and make improvements where necessary.
7. Celebrating Achievements: We celebrate and acknowledge your child's achievements, both big and small. From academic accomplishments to acts of kindness and positive character traits, we believe in recognising their efforts and motivating them to excel.
8. Continuous Improvement: As an organisation, we are committed to continuous improvement. We regularly review our curriculum, activities, and teaching methods to ensure that we offer the most effective and engaging learning experiences for your children.
9. Long-Term Impact: Our goal is to have a positive and lasting impact on your child's development. We understand that progress is not solely measured within the club's duration but extends to their performance and character beyond the program.
8. Cancellation Policy
We appreciate your membership with Deen Disocvery and strive to provide you with the best experience possible. Should you decide to cancel your membership, we have implemented the following cancellation policy to ensure a smooth process for both parties:
1. Notice Requirement:
To cancel your membership, we require a full month's written notice in advance. This means that you must notify us in writing at least one month before your desired cancellation date.
2. Cancellation Process:
To initiate the cancellation process, please send a written request to deendiscovery@gmail.com. Your cancellation request must include your full name, child's details, and the desired cancellation date.
3. Fulfillment of Notice:
Upon receiving your cancellation request, our team will acknowledge the receipt and process your request accordingly. Your membership will remain active until the end of the current billing cycle following the month of your cancellation notice. This means that you will have access to club facilities and benefits for the duration of the paid period after the notice is provided.
4. Failure to Provide Notice:
Failure to provide the required one-month written notice of cancellation will result in the continuation of your membership for an additional month. You will be billed for this additional month of membership before your subscription is officially terminated.
5. Exceptions:
We understand that unforeseen circumstances may arise, preventing you from providing the required notice. If you encounter any difficulties or have extenuating circumstances, please contact our team as soon as possible. We will do our best to accommodate your needs and find a satisfactory solution.
